JOB SUMMARY:
The Office Administrator is responsible for greeting visitors and internal clients in person or phone. This position supports other departments in completing tasks as assigned.
ESSENTIAL JOB DUTIES:
Meet, greet and make all visitors feel welcome; schedule appointments
Operate multiple-call telephone console and route calls to appropriate people in accordance with company guidelines
Quality Assurance - Maintain appearance of reception area and office
Operate office equipment, copy machines, sort and distribute mail
Uploading credit card and check information in SharePoint for operations processing
Assisting Compliance with check distribution
Receive, sort, and distribute incoming mail
Perform general office administrative tasks such as ordering and maintaining inventory of office supplies and equipment
Maintain the office calendar
Produce and distribute Office Newsletter with Manager approval
Send out agent communications for office concerns, i.e. receivables, invitations to office meetings via email, etc.
Coordinate/schedule office meetings via email
Coordinate office meetings and social events
Daily timecard entry
Works with various Home Smart departments, Accounting, Compliance, Escrow
Review Agent closing packages
Support Company sponsored programs throughout the year i.e. Toys for Tots
Understand, display, and embrace the company’s “culture.”

SKILLS DEVELOPED OVER WORK EXPERIENCE:
Enhance skills in greeting visitors, managing phone calls, and responding to inquiries with a friendly and welcoming demeanor.
Develop proficiency in office tasks such as scheduling appointments, maintaining calendars, sorting mail, and managing office supplies.
Strengthen communication skills for coordinating office meetings, distributing newsletters and communications, and collaborating with various departments.
Improve attention to detail to ensure the accuracy of data entry, credit card information, and maintaining the appearance of the reception area and office.
Foster skills in working with different departments, supporting company-sponsored programs, and embracing and promoting the company's culture and values.
REQUIREMENTS AND QUALIFICATIONS:
High school graduation or equivalent.
Proficiency in Microsoft Office products (including Word, Excel, PowerPoint, and Outlook)
Ability to type at a net rate of 35 wpm using a computer keyboard
Required to attend training for 2 weeks in-person at the Irvine office
