JOB SUMMARY:

The receptionist role handles many of the behind-the-scenes, but necessary office tasks. The receptionist must be able to adapt to many different situations. The receptionist is able to communicate effectively and be someone the office staff and field staff can rely on. The receptionist must be able to think creatively and critically as they are called on to solve problems. People who can work efficiently and have strong organizational skills are best able to handle the myriad duties required.


ESSENTIAL JOB DUTIES:

  • Support administrative/executives/ human resources, technology, accounting and office staff.

  • Provide excellent customer service as the first point of contact for clients and staff

  • Answers all incoming phone calls and directs/redirects callers to the appropriate staff extensions.

  • Greets all staff, clients, associates, colleagues and visitors at the front door and escorts them to the appropriate office location for meetings or events.

  • Maintains client and employee confidentiality.

  • Handles planning, set-up and logistics of corporate events.

  • Assists all departments when needed.

  • Purchasing – Catering to the office needs regarding supplies, etc.

  • Keeps track of calendar maintenance, appointments, renewals.


SKILLS DEVELOPED OVER WORK EXPERIENCE:

  • Basic telephone skills, fax skills, Microsoft Office, and Microsoft Excel

  • Provide excellent customer service to clients and vendors

  • Assists with planning, set-up, and logistics for corporate events

  • Manages and orders office supplies as needed

  • Tracks calendar maintenance, appointment, and renewals


REQUIREMENTS AND QUALIFICATIONS:

  • Friendly and positive attitude

  • Precise attention to detail

  • Ability to multitask at high level

  • Adaptability to changing processes and systems

  • Ability to cooperate with others
