JOB SUMMARY:

The Bookkeeper position is an entry level position for someone who is interested in bookkeeping and preparing financial statements.


ESSENTIAL JOB DUTIES:

  • Data-Entry: Input client’s deposits, checks, credit card transactions, and other items to QuickBooks desktop or QuickBooks online

  • Period End Reports: Prepare bank reconciliations, balance and verify general ledger accounts. Prepare adjusting entries. Prepare financial statements.

  • Payroll: Input payroll hours, print checks, process direct deposits, complete quarterly/annual payroll forms

  • Scan and/or copy all bookkeeping documents provided by clients.

  • Keep Outlook open all day to check for messages/documents received. Check the client portal for messages/documents frequently throughout the day related to bookkeeping and payroll. Print documents and/or save client files to the computer. Backup receptionist on client emails/portal as needed.

  • Answer and make outgoing phone calls during office hours when receptionist isn’t available. Transfer calls to appropriate person, check voicemail messages, return phone calls, call/email clients to remind them to send payroll hours or bookkeeping documents.

  • Assist other office staff during busy times (tax season) as needed.


SKILLS DEVELOPED OVER WORK EXPERIENCE:

  • Data entry

  • QuickBooks – desktop and online

  • Period end reports – bank reconciliations, general ledger accounts, financial statements

  • Payroll – hour input, checks, direct deposit, quarterly/annual payroll forms

  • Client management and customer service


REQUIREMENTS AND QUALIFICATIONS:

  • Bilingual Spanish helpful but not required.

  • Microsoft Office experience and basic computer, copier, and phone skills

  • Preferred attributes: self-starter, reliable, patient, comfortable asking question, flexible, able to multi-task, able to prioritize.
