ESSENTIAL JOB DUTIES:

  • Greet clients: Offer coffee, tea, etc. Notify staff that their appointment has arrived

  • Answer phone calls during office hours and transfer to appropriate person, check voicemail messages, return phone calls, call clients to schedule or remind them of their appointments

  • Keep Outlook open to check for messages/documents received. Check client portal for messages/documents frequently throughout the day. Print documents and/or save to client files to the computer. Reply/forward clients’ emails as requested or needed

  • Schedule tax appointments in tax software and in Outlook

  • Send outgoing mail daily (before lunch) using the postage meter or online postage. Check mailbox daily, sort and distribute mail

  • Scan and copy client’s documents including bookkeeping and tax documents. Check emails, mailbox, fax, or portal for client documents

  • Keep the coffee area neat and stocked for clients to help themselves

  • Order office supplies as needed or requested

  • Keep desk neat and client data on desk protected for privacy

  • Manager’s office: Keep printer stocked and ready for use, keep drawer stocked with tax envelopes and return envelopes. Pull files for daily appointments and put on manager’s desk with calendar printout

  • Post tax client payments to tax software and scan to file on computer. Record Bookkeeping and tax payments in QuickBooks at least weekly. Fill out deposit slip and scan with checks, then give to manager

  • Scan E-file acknowledgements to client’s folders and file in black books.

  • Client management and customer service

  • Phone management and appointment setting

  • File management Mail processing

  • Office management – maintaining lobby, manager’s office, and office supplies

  • Posting tax client payments to tax software


REQUIREMENTS AND QUALIFICATIONS:

  • Bilingual Spanish helpful but not required.

  • Microsoft Office experience and basic computer, copier, and phone skills

  • Preferred attributes: self-starter, reliable, patient, comfortable asking question, flexible, able to multi-task, able to prioritize.

Monday: 9 AM–12 PM, 2–4:45 PM

Tuesday: 9 AM–12 PM, 2–4:45 PM

Wednesday: 9 AM–12 PM, 2–4:45 PM

Thursday: 9 AM–12 PM, 2–4:45 PM

Friday, Saturday, Sunday: Closed
