Job Summary:
Hawkins and Hawkins offer a range of primary tax services, including tax preparation for individuals, small businesses, and corporations; and compliance assistance to meet the various needs of the target market. They specialize in tax preparation, including state and federal tax returns, amendments, and unfiled returns with a mission to provide comprehensive tax solutions and relieve past tax burden.
Essential Job Duties:
Answer and direct phone calls professionally
Greet and assist clients in person and over the phone
Schedule appointments and manage calendars
Manage client intake, documentation, and data entry
Maintain organized paper and digital filing systems
Prepare, proofread, and edit correspondence and tax documents
Support tax preparers and CPA with various administrative tasks
Assist with office supply inventory and organization
Use CRM and AI tools to improve client service and efficiency
Ensure confidentiality of all clients’ financial records
Requirements/Qualifications:
Good verbal and written communication skills
Proficient in Microsoft Office (Word, Excel, Outlook)
Willingness to learn and adapt to new technologies
Strong attention to detail and organizational skills
Ability to handle multiple tasks and meet deadlines
Prior administrative or office experience preferred
Professional demeanor and positive attitude
Bilingual (English/Spanish) is a plus
Work Experience Skills Developed:
Customer service
Handle client intake forms and organize paperwork
Schedule appointments and maintain the office calendar
Prepare and organize documents for tax processing
Enter data and keep files up to date
Use Microsoft Office and other office software
Communicate clearly with clients and team members
Hours of Operation:
Monday - Friday: 9:00AM- 5:00PM
