Job Summary:

Responsible for overseeing daily office activities to ensure smooth operations and performing related administrative duties by performing the following duties.


Essential Job Duties:

  • Assist in compiling expense and budget information for projects and company.

  • Prepare and update reports for clients.

  • Close out all events to include gathering all demonstrator and event expenses.

  • Supervise the maintenance of office equipment including copier, vehicles, etc.

  • Responsible for the facilities day-to-day operations such as distributing building access keys and back-up to security access cards, etc.

  • Maintains files and control sheets of Warehouse inventory, to include client’s promotional items and company’s materials.

  • Schedule appointments and office meetings as needed, including travel and accommodation arrangements and preparing related agendas for the company as required.

  • Screen telephone calls and incoming mail.

  • Filing and sorting receipts and invoices.

  • Supports with customer service needs and delivery of projects.

  • Ensure management is informed of deadlines and problems.

  • Maintains a professional office environment.

  • Support operations and finance department as needed.


Requirements/Qualifications:

  • Computer skills including all Microsoft Office applications

  • Bilingual English/Spanish required, both oral and written.

  • Good attention to detail

  • High school degree or GED

Hours of Operation:

Monday – Friday: 9AM – 4PM
