Job Summary: The Administrative Assistant for the Orange County Asian and Pacific Islander Community Alliance will be supervised by the Director of Finance and Administration and will support the development and implementation of administrative, organizational, and financial policies and procedures. This role will also assist in ensuring the organization’s compliance with applicable nonprofit legal and regulatory requirements.
Essential Job Duties:
Assist with Supportive Services and Incentive operations, including organizing and maintaining client documentation, while ensuring all requests comply with established policies and procedures.
Assist in organizing and maintaining personnel files
Assist with payroll reporting operations, including the submission and review of timesheet allocations
Assist with Accounts Payable operations, including preparing check requests and processing expenditures for occupancy cost pools and other invoices, while organizing and maintaining Accounts Receivable and Accounts Payable files.
Assist with grant and contract budget operations, including organizing and maintaining agency budget files.
Assist with fixed assets inventory operations, including monitoring and tracking inventory
Assist with audit preparation and financial monitoring by various funding sources, including preparing audit schedules for agency payables and receivables.
Organize and maintain administrative, archival and all files
Provide support for the organization to meet its legal and administrative requirements
Work with Director of Finance in related administration and financial operations
· Assist with answering phones and responding to general inquiries
Requirements/Qualifications:
High School Diploma or related work experience
Verification of employment eligibility, and background clearance required
Excellent communication skills, both oral and written (Preferred)
Basic computer skills
Detail-oriented professional with strong organizational skills, able to prioritize and multitask effectively, work collaboratively in a team environment, demonstrate flexibility and initiative, and engage effectively with diverse populations
Must be comfortable with the philosophy and goals of OCAPICA

Hours of Operation:
Monday – Friday: 8:30 am – 5:00 pm
