Job Summary:

Under the supervision of the Program Director, the Office Support Staff provides administrative and office support for the Full-Service Partnership Wraparound (FSP/W) Program, which serves Asian American and Pacific Islander children, youth, and young adults (ages 0–25) facing mental health challenges. Project FOCUS provides culturally supportive, family-centered services that help participants work with care teams to identify their needs, strengths, and goals.


Essential Job Duties:

  • Provide front desk and administrative support for multiple behavioral health programs

  • Greet and assist clients, visitors, and community members in a professional, respectful, and culturally responsive manner

  • Answer, screen, and route incoming calls; respond to general inquiries and provide accurate information

  • Support client intake processes, including assisting with forms, verifying documentation, and coordinating with program staff

  • May schedule appointments and manage calendars for program staff

  • Perform data entry and maintain accurate client records in electronic health record (EHR) systems and internal databases

  • Scan, file, and organize client and program documents in accordance with confidentiality and compliance standards (HIPAA)

  • Assist with preparation of reports, correspondence, and program materials

  • Monitor and maintain office supplies; coordinate orders, complete bid form as needed

  • Support coordination of meetings, training, and community events (e.g., preparing materials, setting up space)

  • Assist with outreach efforts by preparing flyers, packets, and resource materials

  • Provide basic translation/interpretation support when applicable to assist clients with limited English proficiency

  • Maintain a clean, organized, and welcoming front office environment

  • Support staff with general administrative tasks to ensure efficient daily operations

  • Adhere to all organizational policies and procedures, including confidentiality, documentation, and Medi-Cal program requirements


Requirements/Qualifications:

  • High school diploma or equivalent required

  • Experience working with diverse, multicultural, and limited English proficient populations is highly desirable

  • Strong organizational and time management skills

  • Ability to maintain confidentiality and handle sensitive client information in compliance with HIPAA

  • Basic proficiency in Microsoft Office (Word, Excel, Outlook) and data entry systems

  • Strong communication skills, both verbal and written

  • Bilingual/ bicultural (Preferred)

  • Ability to work in a fast-paced behavioral health setting and support multiple staff and programs

  • Physical Requirements: Ability to sit, stand, and walk for extended periods, ability to lift and carry up to 20 pounds (files, office supplies)

  • Ability to use office equipment (computer, copier, phone system) for prolonged periods

  • Occasional movement within the facility to support staff and client flow
